As of 2003, one of the largest healthcare organizations in the United States was struggling with their records storage program. Several of their departments were experiencing as low as 55% success rates on their retrieval requests with their off-site records management provider. The retrieval process itself was manual and there was no sense of certainty that the records would be located, retrieved and returned to the hospitals in a timely manner. These service issues clearly impacted the ability to provide quality service to patients since departments could not count on receiving their required charts in time for patient visits, surgeries and potential emergencies.

In 2004, this healthcare organization made the decision to relocate all of their records from their current provider to Retrievex. Recognizing that there was a significant quality issue with the current document storage inventory, Retrievex individually listed every medical record received during the nine-month transition. Retrievex employed two shifts of 30 individuals per shift to accomplish the task. The process involved labeling each chart with a unique Retrievex barcode, data entering the pertinent patient information including patient last name, first name, medical record number and chart volume identifier, scanning each chart to a secure shelf location within the Retrievex Records Center and performing Quality Control Audits throughout the entire process to ensure accuracy. Retrievex indexed over seven million charts during this transition and 100% of the qualified file-level information is now available for authorized end users to access, view and retrieve via the Retrievex secure on-line web access portal FileLineACCESS.

In addition, this healthcare organization realized a reduction of approximately 20% in file storage volume due to the fact that the previous vendor had left empty space on the shelves in anticipation of needed growth.
